Urgent Support

Something Has Gone Wrong And You Need It Sorted This Week

Caught short on paperwork. Let down by a supplier. Cover withdrawn by an association. A safeguarding concern you are not sure how to handle. These are the calls we take most often, and they are the ones we are best at.

Office hours are Monday to Friday, 9.30am to 4.30pm for telephone. Web chat is answered by our assistant outside those hours and picked up by the team when we are back.

Before anything else

Two Things We Cannot Do, However Much We Want To

  • We cannot backdate insurance. If something has already happened, no association can cover it retrospectively, and anyone who tells you otherwise is either mistaken or lying to you. Cover starts when cover starts.
  • We cannot retrospectively fix a safeguarding failure. A policy dated today does not cover a gap that existed last month, and we will not produce paperwork that implies it does.

We are telling you this first because it is the part most likely to be fudged by someone trying to close you, and because everything else on this page is worth more once you know we will not.

What we can do

Get You Compliant Extremely Quickly, Starting Now

What we are genuinely good at is taking a club from exposed to properly covered in a very short space of time, and being straight with you about how long each part actually takes.

If a venue needs paperwork on Friday, a DBS has lapsed, your cover has been pulled, or you have realised your safeguarding is not where it should be, that is a solvable problem and we solve it most weeks.

Realistic Timescales

What Can Actually Move Today

Not aspirational marketing timescales. What our team genuinely turns around, so you can plan around it.

  • Same working day Membership and cover activation Applications submitted and paid during office hours are turned around the same day wherever we can.
  • Instant Certificates and proof of cover Public liability certificates and membership evidence download straight from your account, at any hour.
  • Instant Proof of grade and instructor status Your grade history and instructor standing are on record and produceable immediately.
  • Instant Policies and risk assessments Fifty-three model documents, plus the digital risk assessment toolkit and incident log book.
  • Same evening Core CPD Safeguarding, first aid, SEND Level 1 and CHIMA can be completed and certificated the same night.
  • Days, not months Club Colours Checked dynamically against your live record rather than a paper submission sitting in a queue.
The Calls We Take Most

Find Your Situation

Your cover has been withdrawn

An association has retracted your insurance, sometimes mid-term and sometimes over a disagreement rather than a breach. You are teaching tomorrow and you are not covered.

We can quote and, once accepted and paid, activate cover quickly during office hours. What we cannot do is backdate it.

A venue has asked for paperwork you do not have

A hall, leisure centre or school has asked for a public liability certificate, risk assessments, a safeguarding policy or DBS evidence, and given you days rather than weeks.

Certificates are available instantly from your account. Policy templates, risk assessment tools and the digital log book are all included and ready to use.

A DBS check has expired without anyone noticing

It happens in almost every club eventually, and it usually surfaces at the worst possible moment, often when somebody else asks the question.

We are a DBS registered body route and can get an application moving. We will also tell you honestly what the realistic turnaround is rather than what you want to hear.

A safeguarding concern has been raised

A parent, a student or a member of staff has said something, and you are not sure what you are legally required to do next, or who to tell first.

Our in-house Designated Safeguarding Lead can talk it through with you. This is the one thing on this page that should never wait for a convenient moment.

Your association has let you down

Unanswered emails, no support when it mattered, a policy applied unreasonably, or an organisation that has quietly stopped functioning.

We can run parallel while you sort it out, and we will tell you if staying put is actually the better option for you.

A supplier has failed you

Your website has gone down, your booking system has been discontinued, your payment provider has frozen you, or your club software has put its prices up beyond what you can carry.

Most of what you were paying for separately is included with membership, and our developers can migrate a website rather than leaving you to rebuild it.

If It Is A Safeguarding Concern

Do Not Wait For Office Hours, And Do Not Use General Enquiries

If a child or an adult at risk is in immediate danger, call 999 first. Tell us afterwards.

For anything else involving welfare, our safeguarding route reaches our Designated Safeguarding Lead directly rather than sitting in a customer services queue. You do not need to have worked out whether it is serious enough. That is precisely what the DSL is there to help you decide.

You do not have to be a member to raise a safeguarding concern with us.

Who You Actually Get

Every One Of These People Is On Our Payroll

Not freelance, not outsourced, not a call centre reading from a script, and not a committee of volunteers who will get back to you when they can. Employed specialists, in one office, who deal with this constantly.

  • Designated Safeguarding LeadQualified, in-house, and the person you speak to about a concern rather than a form you fill in.
  • Safeguarding OfficersTrained specialists who deal with this every week rather than once a year.
  • Compliance TeamInsurance conditions, venue requirements, DBS, licensing and what a regulator or local authority will actually ask you for.
  • SEND Co-ordinatorInclusion, Individual Learning Plans and what a club is required to put in place for a student with additional needs.
  • Business SpecialistLegal structure, employment status, VAT, contracts and the questions that turn expensive if answered wrong.

That matters most in a crisis. A club in trouble does not need a form, a ticket number and a three-day wait. It needs somebody who has seen the situation before and can tell you what happens next.

And Once The Fire Is Out

Most Clubs Who Arrive This Way Stay, And Not Out Of Gratitude

They stay because the thing that went wrong usually turns out to be a symptom. A supplier failing, cover withdrawn, paperwork nobody was maintaining: these are what happens when a club is holding together five separate arrangements on its own.

Membership consolidates most of it, which is why a great many clubs end up saving more than the membership costs them. But that conversation can wait until the immediate problem is dealt with, and we will not push it while you are in the middle of something.

Tell Us What Has Happened

You do not need to have it all worked out before you get in touch, and you do not need to be a member. Tell us the situation and we will tell you honestly what can be done and how quickly.
