Enquiries Do Not Get Lost Because Clubs Are Careless

They get lost because an enquiry arrives as a Facebook message on a Tuesday, a text on the Thursday, and a name written on the back of a class register at the weekend. Nobody owns it, nobody follows it up, and a person who was ready to walk through your door quietly goes elsewhere. This puts all of it in one place.

A prospective student picks a class on your branded booking page, enters their details, and submits. It lands in your dashboard instantly and you get an email alert. If the class is full, they join its waiting list instead.

You work it

Every lead moves through a pipeline: pending, contacted, attended, no-show, converted or archived. Message them securely, send a follow-up from a template you wrote once, and see where they came from.

They join

One click converts the lead into a student record in your Club Manager, with a linked guardian record if it is a child, and can enrol them into the class they tried. No retyping, no second system.

Nothing happens on its own. You decide when a lead is contacted, emailed or converted, which is the right way round for something that is talking to parents on your behalf.

It Looks Like Your Club, Not Like Software

Every club gets its own public taster page carrying your logo, your colours, your font and your welcome text. You choose which of your classes appear on it, so you can promote only the beginner-friendly sessions if that is what you want people walking into.

The page is sensible about dates. Where a class has space, the visitor picks from your genuine upcoming session dates, pulled from the classes you already run in Club Manager. Where a class is full and running a waiting list, the date step disappears entirely, because there is no sense promising a date you cannot yet offer.

A Pipeline, Not An Inbox

Bookings is your working view. Each lead carries a status you move along as things happen, so at any moment you can see who is waiting on you and who has gone cold. Live figures across the top show total bookings, conversions, pending and your actual conversion rate.

There is also a source breakdown, which is more useful than it sounds. Knowing whether your enquiries are arriving from Facebook, from Google or from the BMABA Club Finder tells you where your next hour of effort is worth spending.

Waiting list

Full Classes Should Still Capture The Enquiry

Turn a waiting list on for any class that has no space, with a short custom message explaining the situation. People join the list rather than hitting a dead end, and they sit in their own tab so they never get muddled with your live bookings.

Waiting lists have their own set of follow-up templates too: a check-in to reassure someone they have not been forgotten, a message for when a space opens up, a welcome when they come off the list into a place, and a kind goodbye if the wait has gone on too long.

Data protection by design

You Do Not Hold Their Details Until They Are Actually Yours

This is the part we are proudest of, and it is unusual. A curious parent who books a taster and never comes back has trusted you with a child’s name, date of birth and contact details. Holding all of that indefinitely, in a spreadsheet, for someone who attended once, is a data protection problem most clubs do not know they have.

Email addresses and phone numbers are hidden in your dashboard until you mark the lead Converted. A prospect’s personal contact information is not sitting exposed while they are still just an enquiry, and it unlocks automatically at the moment they genuinely become your student.

Talk to them without seeing the address

Every lead has a secure message thread. Your message goes out as a branded email from your club, they reply through a secure link, and their reply appears back in the thread. You get an alert. No inbox to bounce between, no address to handle, and the thread is never rate-limited so a real conversation is never interrupted.

Leads are kept out of your member records

Trial leads live in the Trials tool’s own separate store, not in your CRM. Someone who books a taster and disappears never clutters your roster. They become a record only when you decide they should.

Erasure requests take one action

Cleansing a booking permanently reduces the lead to an initial and a masked surname and wipes the date of birth, email, phone, medical notes, message and technical details, along with your thread and notes. It is irreversible, and it only ever touches the Trials tool, never a student record you have already created.

You can also switch on a short participation and assumption-of-risk note that a person must tick before booking. We provide sensible starter wording you are free to edit. It is a light protection for the club and does not replace a formal waiver.

Follow-ups

Write It Once, Send It In A Click

Conversions are won and lost in the follow-up, so the templates are written in advance and sent when you want them. Two full sets are provided, one for booking leads and one for the waiting list, seeded with starter wording you can edit or switch off.

Each template has a subject, a body, a live preview and merge fields such as first name, class, date, time, location and club, which fill themselves in per lead. Class details are appended to every email automatically, so the essentials are never left out by accident.

Sending is deliberately manual. Open a lead, pick the right template, preview it, send. The tool shows you the correct set depending on whether they are a booking or a waiting-list entry, and logs what has already gone out.

Follow-ups are capped so nobody gets hounded: one per lead per day and four in total for booking leads, one every seven days for waiting-list check-ins. The messages that matter, a space opening up, a welcome in, a goodbye, are exempt and always get through.

Set It Up Once In About Ten Minutes

Add your logo, choose your colours, palette and font, and write a welcome title and intro. Set a reply-to address so replies reach the right inbox, and the alert address where new booking and reply notifications land. Add an optional contact footer for a phone number or FAQs.

You can also invite team members to help manage bookings, so the enquiries are not all sitting behind one person’s login when they are away.

One Click, And They Are In The Class

Conversion is the handover point. It creates a student record in your Club Manager from the details they already gave you, creates a linked parent or guardian record if the participant is a child, and can enrol them into the class they tried. Their contact details unlock at the same moment.

What you do not do
  • Retype a name, date of birth or medical note
  • Set the same class up twice in two systems
  • Export anything, anywhere
  • Keep a spreadsheet of people who came once
What happens instead
  • The student record is created as inactive, ready for your normal joining process rather than silently going live
  • A guardian record is created and linked for under-18s
  • The lead links to the new record and cannot be converted twice
  • Your taster classes come from the classes you already run, so nothing is configured twice

Worth knowing: conversion always creates a new student record from the trial details, so if the person is already in your Club Manager, check before converting to avoid a duplicate.

The Unglamorous Part That Actually Matters

A taster booking form collects a child’s name, date of birth, medical notes and a parent’s contact details, often before you have ever met them. That is about as sensitive as club data gets, so it is worth being specific about who built this and how it is governed.

BMABA Trials is designed, written and maintained by BMABA’s own development function, alongside the rest of the member platform. Masking contact details until conversion is not a feature you get from an off-the-shelf CRM, and it exists because we built it.

Why a club should care about any of this

  • Certification is audited, not self-declared. UKAS accreditation means the certification body is itself independently assessed. It is the difference between a claim and a check.
  • Data minimisation is a legal principle, not a nicety. Holding a child’s details indefinitely because they attended one taster is exactly the kind of thing the UK GDPR asks you to justify. This tool makes the right answer the default one.
  • Erasure requests stop being frightening. When a parent asks you to delete their child’s data, you can do it properly and in seconds, rather than hunting through a phone, a notebook and an inbox.
  • Built in-house means it can be fixed. If something does not suit how martial arts clubs actually work, it changes. That is not true of a platform serving a hundred other industries.
