Why this exists

Nobody Opened A Martial Arts Club To Write Policies

And yet a venue wants your health and safety policy, a parent wants to know your photography rules, a local authority wants your safeguarding statement, and an insurer wants proof you have an anti-bullying policy in place before your abuse cover means anything. The usual answer is a document borrowed from another club with their name still in it. This is the better answer.

It Asks The Questions So You Do Not Have To Find The Gaps

The difference between a template and a policy is whose details are in it. The toolkit collects the specifics up front and then places them everywhere they need to appear in that particular document, which is the part people get wrong when they are editing a Word file at eleven at night.

No square brackets left behind, no other club’s address halfway down, no policy that says INSERT CLUB NAME HERE in the paragraph a parent actually reads.

A Starting Point, Not A Straitjacket

Every generated document opens in a full editor. Change the wording, add a clause your venue insists on, cut a section that does not apply to you, adjust the tone so it sounds like your club rather than a solicitor.

The model wording is there to save you the blank page and to make sure you have not missed anything a sector body would expect to see. What you do with it afterwards is yours.

Policies Do Not Fail On The Day You Write Them

They fail eighteen months later, when the safeguarding lead has changed, the venue has changed, and the document still says what it said in 2024. That is the version an inspector, an insurer or a coroner reads.

Every document sits in one place with its version history and a review date, and flags itself when that date comes round. You can see at a glance which policies are current and which need half an hour of your attention, which is exactly the picture most clubs have never had.

What This Is, And What It Is Not

A policy toolkit that overpromises is worse than no toolkit at all, because it gives a club false confidence at exactly the moment confidence matters. So, plainly:

It is model wording, not legal advice

These are sector-appropriate starting points drafted for martial arts clubs. They are not a substitute for professional legal advice on your specific circumstances, and nothing here should be read as advice. Where the stakes are high, take advice on top.

You still have to read it

A policy you have not read is not a policy, it is a PDF. Every generated document is editable precisely because you are expected to go through it and make it true of your club rather than aspirational.

A document is not a practice

Having a safeguarding policy and doing safeguarding are different things. The toolkit gets the paperwork right so you can spend your attention on the part that actually protects people.

Your documents are yours

What you generate belongs to your club. Edit it, export it, print it, put it on your website, hand it to a venue. It is not licensed back to us and it does not stop working if you leave.

The toolkit is designed, written and maintained by BMABA’s own team, and so is the model wording inside it. When guidance changes, we change the templates, because we are the ones who wrote them.

Why this matters for a club

  • Review dates are the whole game. Most clubs do not have out-of-date policies because they are careless, they have them because nothing ever told them a review was due. Now something does.
  • Your insurer has conditions. Abuse cover under our scheme requires written policies on child protection, anti-bullying, behaviour management and continued compliance. Those templates are all in the library.
  • A venue asking is not a crisis. When a leisure centre or a school asks for your paperwork before letting you hire the hall, it takes minutes rather than a weekend.
  • Certification is audited, not self-declared. UKAS accreditation means the certification body is itself independently assessed. It is the difference between a claim and a check.
